Connect your Gmail mailbox to Ebsta
There are a number of ways to add multiple recipients to a cadence:
- Add multiple recipients to a cadence from your Gmail Contacts
- Add multiple recipients to a cadence from a Salesforce View
- Add multiple recipients to a cadence using a CSV file
- CSV File Format Requirements
Add multiple recipients to a cadence from your Gmail Contacts
1. Enter the recipients names straight into the 'To' field as you normally would when sending an email. Click the Cadence button in the compose panel and then click Select Cadence*.
* Alternatively, Ebsta also displays up to three of your most used cadences for quick selection.
2. Select the cadence you wish to use from the list (or use the search function) and click on it.
3. The recipients information will be pre-populated in the Sending To fields. You can review, edit or add further recipients to the cadence by clicking Add Recipients or by clicking the recipient confirmation coloured in blue.
4. Ebsta displays a list of recipients to be added to the cadence. You can use the check boxes to remove recipients from the cadence. You can add additional recipients to the cadence by manually inputting the recipient details into the field boxes and clicking Add.
5. Click Confirm.
6. Ebsta will run a check to see if any of these recipients are 'active' in another cadence and if this is the case, you will be prompted to confirm whether you wish to exclude them from the list.
7. By default the cadence will be set up to run on weekdays only and all follow up emails to be sent as replies.* To amend these settings simply uncheck the tick boxes in Sequence.
*This means the subject line of all follow up emails in the sequence will be overridden and replaced with RE: plus the subject line of the first email in the sequence.
8. By default Email Tracking* is enabled (the email tracking button is green to denote this). You can also choose to Add email to Salesforce** upon send and use the Email Scheduling functionality for this cadence by clicking on the appropriate feature button.

* Please note if you chose to disable email tracking, Ebsta will not be able to provide you with open, click and reply rates for this recipient.

** Add email to Salesforce. With this function active, all cadence emails are automatically added to a recipient's Salesforce record. Please note that the following rules apply:
- Ebsta will search Salesforce looking for matches on Contacts / Leads by searching all Emails fields on both Objects
- If Ebsta has multiple records returned, it will take the record that has been modified last (_LastModifiedDate_field)
- If the result happens to be a Contact, Ebsta will see if this Contact has an associated Account and assign the "Related To" field on the task to be of the Account
9. You can edit an email's text and/or subject line by clicking the pencil next to the email you wish to edit.
This opens up the wysiwyg so you can edit the email text and subject line. You can also edit the html by clicking into the Code View.
Note: Editing the email text and/or subject line here customises the cadence for this/these recipients only. |
10. When you are finishing editing, click Use.
11. When you are ready to send out the cadence to the selected recipients, click Send.
Add multiple recipients to a cadence from a Salesforce View.
1. From Gmail, click the Cadence button in the compose panel and then click Select Cadence*.
* Alternatively, Ebsta also displays up to three of your most used cadences for quick selection.
From Salesforce, click the Add to Ebsta Cadence button.
2. Select the cadence you wish to use from the list or (use the search function) and click on it.
3. Click Add Recipients.
4. Click the Salesforce View tab.
5. Select the Salesforce Object and the Salesforce View you wish to use from the dropdown lists.
6. Ebsta displays a list of recipients to be added to the cadence from your chosen Salesforce View. You can use the check boxes to remove recipients from the cadence.
7. Click Confirm.
8. Ebsta will run a check to see if any of these recipients are 'active' in another cadence and if this is the case, you will be prompted to confirm whether you wish to exclude them from the list.
9. Ebsta will confirm the total number of recipients that will be added to your cadence.

CSV File Format Requirements
The first four columns of your CSV file must have the following headers:
Firstname
Lastname
Company
Firstname and Email are mandatory fields and must contain valid values. If there are invalid or empty values in either of these fields, Ebsta will display them as below and these recipients will not be added to the cadence. You will need to make amends to your CSV file and reload.
Lastname and Company are not mandatory fields and can have empty values.
If your CSV file does not follow this format, your file may not load.
